Terms and Conditions
The following Terms and Conditions apply to Involvement Volunteers International Ltd (IVI). By clicking on the box besides the words ‘I have read and agree to the IVI legal terms and conditions’, you agree to the following terms and conditions.
Travel insurance is mandatory for each volunteer. The volunteer will purchase this prior to departing. IVI does not provide the volunteer with insurance of any kind. The volunteer is solely responsible for selecting the type, and coverage levels of any insurance policy which must cover their entire travel period.
Travel Costs & Documentation
It is the responsibility of the volunteer to carry all necessary documents when travelling. IVI are not responsible for any supporting documents necessary for the volunteer’s travel needs or other purposes, however IVI may advise the volunteer on required travel documentation. The volunteer is responsible for arranging and paying for their own travel, including all airfares or other transport costs to and from the placement country as well as any local transport costs.
Placement Fee Instalments
The IVI placement fee is paid in 2 instalments;
-The first instalment of US$275 p/volunteer is paid after submission of the on-line application and confirmation from IVI of the placement host intent to accept the volunteer.
-The 2nd instalment covers the remaining balance of the IVI placement fee and must be paid no later than 33 days prior to the placement start date.
A volunteer’s placement on a program cannot be confirmed until the entire IVI placement fee has been paid in full.
-Specific details about the placement host including address, phone number and contacts can only be provided after the full payment has been received. Failure to make final payment can result in a loss of volunteer placement with no refund.
IVI reserves the right to revise the IVI placement fee at any time. All IVI placement fee revisions will be made via the IVI website with seven
days advanced notice given before they take effect. IVI placement fee revisions are not applicable to volunteers who have paid.
Details of the IVI placement fees are set out on the website. Where applicable, food & accommodation fees are provided, in some instances these are a guideline only. Once your application is received, and your placement booked, the applicable fees will be confirmed.
-No additional charges for payment via credit card apply.
-No additional charge for payments made by direct credit (bank transfer)
COVID19 Refund Policy
The first $275 (commonly referred to as the ‘application fee’) of any individual volunteers IVI placement fee is non refundable.
Due to global travel restrictions from the COVID19 pandemic, the balance of all fees paid in addition to the application fee will remain in credit for up to 2 years. All bookings for dates within the travel restricted periods will be automatically deferred to a future date with no amendments fees. Once the travel restrictions are lifted, IVI will be in contact with you to re-schedule to a suitable date.
Sincere apologies, at this time we are unable to provide a refund due to the COVID19 situation. You may wish submit a claim through your travel insurance provider if you cannot defer your travel to a later date / late year.
Change of Dates and Duration
Before they begin their trip with IVI, the volunteer is entitled to change their start date and duration 30 days prior to arrival. The revised date must be no later than 1 year from the original placement date. All changes incur an administration fee of US$50 per change. Change requests made within 30 days of arrival will be assessed on a case by case basis depending on the country and program.
The volunteer acknowledges and accepts the responsibilities and risks associated with their agreement to travel to, temporarily live in and provide volunteer services in a developing country. Such travel and volunteer work can involve a certain degree of risk, dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the volunteer. Therefore, IVI including any and all of its employees, managers, directors, shareholders, host families and host country partner organizations are not liable, to the maximum extent of the law, for any loss or harm the volunteer or associates may suffer, including but not limited to loss caused directly or indirectly by Personal injury, Illness or disease, Emotional injury, Damage to or loss of property, War or terrorism, hostage situations or Death
The volunteer agrees to indemnify IVI against any and all liability which IVI incurs arising directly or indirectly out of, or in connection (in any way) with, the volunteer’s travel to, living in and providing services in the volunteer’s nominated country. Notwithstanding anything else contained in any agreement, the liability of IVI to the volunteer shall not in aggregate exceed the amount of the placement fee paid by the volunteer. IVI does not warrant or make any representations regarding the correctness, accuracy, reliability, or otherwise of the materials in this site or the result of their use.
The volunteer agrees to comply with the partner organization’s code of conduct. IVI reserves the right to use feedback and images provided by volunteers for website materials such as testimonials. IVI connects volunteers to partner organizations. IVI provides a service connecting volunteers to the independant local team, you agree that IVI is not liable for any actions or omissions of any partner organization. Should a volunteer be registered on a program that is closed, withrdrawn, or otherwise made unavailale by IVI prior to their scheduled start date, the volunter may elect to change to a diferent project free of charge. If a project becomes unavailable during the volunteer program, an alternative program will be provided or a refund for the remaining weeks of stay will be considered subject to IVI’s standard refund policies.
Payments & Refunds
All IVI fees are priced in US Dollars (USD). Where a volunteer elects to make payment in a different currency, the conversion rate applied on payments and any eligible refunds will be based on the exchange rate charged by our payment provider (plus a conversion fee) at the time the payment or refund is processed. Therefore, in situations where the original payment is fully or partially refunded, the actual amount refunded in the volunteer’s chosen currency may be less than the original payment amount. Refunds will not exceed the original amount paid.
Payments made using a credit can only be refunded as a credit (where eligible). No cash refunds will be made for payments made with a credit.
International banking transaction fees are non-refundable in all circumstances.
